Administrative Systems are a collection of supportive tools and processes to help your department run smoothly
Encrypted Drive
H&SS IT Services group provides a safe and secure place to store information that needs to remain private to those not authorized to view it. Personally identifiable information is categorized as data containing social security numbers, date of birth, driver’s license number, etc. We recognize those departments whom have a legitimate need to use confidential information need a secure place to host this information.
We use a secure server to host your department’s sensitive and confidential information. Department’s that currently take advantage of this service utilizes it to store information on students for academic advising purposes. Faculty can then share this information electronically with colleagues moving the department away from paper based methods currently used in the advising process. Project Management
Have an idea to improve things in your area but asked yourself “where do I start?” Let us help. We can work with you to develop your valuable idea into reality. Adopting a set of project management methodologies we can work with you from formation and creation of the idea into something in the end that will benefit you and your department. SharePoint
SharePoint is a powerful web based collaboration management tool. CSU Fullerton adopted SharePoint to give departments a way to facilitate and improve document management and sharing. Visit the University site for links to training documentation, tutorials, and more information
Departments that choose to use SharePoint typically fit the following profile:
- Engages in committee work
- Often works on Inter-department collaboration projects
- Do more than simple file sharing
- Short term projects that required strict accountability and document versioning control

H&SS Office Space Web Application (for Dean’s office use only)
The college uses a database to manage office space assigned to HSS part time faculty. This database allows us to keep track of what offices have been assigned to which departments. Due to the high volume of part time faculty office turnovers the Dean’s office requests that they are notified when offices are reassigned. Contact Sheryl Fontaine (x2651) for more information. In addition the H&SS IT Services Group (x3200) should be contacted to assist in office relocations. We provide support in your office move by disconnecting and reconnecting computers and periphery.
Video Conferencing
Located in H-219, HSS provides a conference room equipped with a dedicated Skype video conferencing system. This standalone system uses a Lifesize camera and Skype software to connect to anyone around the world providing they have a computer, web cam, microphone, Skype installed and an internet connection. A computer and two projectors are also installed in H-219. The dual projectors provide an unobstructed view. Capture and annotated any presentation by using the smart pen installed. It is recommended that you read through the reservation guide before using the room. For a personalized training session also contact the H&SS IT Services Group (x3200). To reserve the room read through the reservation guide and then contact Bunny Casas (x4882). Please note that usage and reservations times/dates are subject to restrictions.
Electronic Forms/Online forms
One way to improve office efficiency and save a tree at the same time is to create electronic forms. Using Adobe Acrobat the office worker can quickly create new forms or convert existing paper forms into electronic forms that can be posted online. Site visitors then simply fill out the form online and through electronic submission have the completed form emailed to the intended recipient. Contact the H&SS IT Services Group (x3200) if you would like us to help evaluate if a form is right for you.
To make finding e-forms easy and convenient a central location for all campus forms is available here. If you would like to use this central location to post your e-form online please contact the H&SS IT Services Group (x3200) or email hssit@fullerton.edu. We will work with Campus IT in getting your form posted.
In some cases a form created in Adobe Acrobat Professional is not sophisticated enough to meet the intended business use. For situations where for example, data needs to be collected for analysis later a web application with a database is more appropriate. Our group can help your department evaluate and decide what the best option is. Contact the H&SS IT Services Group (x3200) or email hssit@fullerton.edu to get started.
Colleges File Server/Department File Sharing
Used by a number of departments, the College file server is a convenient and safe place to save files shared by department office staff and faculty. Benefits include:
- Recovery of accidently deleted files
- Remote folder appears like a locally attached drive
- Save directly to the remote location instantly since server is located on-site
- File recovery from disaster since copies are kept off-site
- Give access only to those people you choose
- Data not stored on a cloud provider (e.g. Dropbox)
- Generous data limits unlike cloud storage providers

Pay for Print
The campus provides departments and labs a way to recover printing costs by leveraging product called “CSprint”. Using the campus issued TitanCard and printing software installed in your area, you can control costs associated with printing by charging students a fee for printing. There are a few things required like a network printer compatible with the CSprint software, a TitanCard reader, dedicated computer, and possibly some additional wiring. Reports on usage can also be generated to track usage patterns and other metrics. For more information on TitanCard and CSprint visit their website. H&SS IT Reports (available to Department Chairs only)
Questions about the quality and quantity of IT services provided to your department by H&SS IT? Using our service management tool we can provide your department insight into the level of services used. Simply provide us the metrics you want used or we can generate a number of standard reports. Reprographics
Established on campus over 30 years ago, Reprographics is your one stop shopping for printing and paper replication needs. They have an array of products and services for you to choose from including business card printing and high volume copying. They are well equipped to handle large volume print job. Visit the Reprographic web site by going to the portal and clicking on the Reprographic link or click here.
Remote Access/VPN
Need to work from home or on the road? CSUF provides a safe and secure way to access the campus remotely. Virtual private network (VPN) allows an employee to connect to campus resources, such as a rollout computer and securely access information as if that employee was sitting at the computer. Virtual Meetings
Take your meetings to a whole new level with Adobe Connect. Web based virtual meeting software extends into the online environment your ability to meet and share document and create workspaces. Setup virtual meeting with your campus colleagues without having to leave your office or deal with the challenges that traditional meetings bring. To learn more log onto the portal and select “Web meetings” or click here to learn how to start using Adobe connect. Please note you may be required to log in before accessing the site. Applicaton License Servers
The College of H&SS provides free access to applications hosted on centrally managed license servers.
Currently, H&SS IT provide campus wide support for ArcGIS versions 9 and 10 and SPSS versions 19 and 20. Generally, most H&SS computer classrooms and labs run these programs from a network license server. Faculty who have setup a small lab or student resource center benefit the most by taking advantage of our license servers. Whether it is for 2 or 200 computers we can provide enough licenses for all your computers. No longer will you have to worry about updating individual licenses.
